Privacy Policy
This policy explains how Asuaret Ltd collects, uses and protects personal data, in line with UK GDPR and the Data Protection Act 2018.
1. Overview
Asuaret Ltd ("Asuaret", "we", "us", "our") is committed to protecting the privacy of visitors to our website and individuals who engage with our IT consultancy and IT services. This policy explains what personal data we collect, why we collect it, how it is used, and the rights available to you under UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. Data We Collect
We collect the following categories of personal data:
- Contact form submissions: name, email address, company name, phone number, subject and message content, when you submit our contact form or otherwise contact us directly.
- Website analytics data: anonymised or pseudonymised usage data such as pages visited, time on site, referring pages, device and browser type, collected via analytics cookies where you have consented to their use.
- Cookie data: information stored via cookies and similar technologies, as described in Section 8 below.
- Correspondence: records of communications between you and Asuaret, including emails and call notes, where relevant to an enquiry or engagement.
3. How We Use Your Data
We use personal data to:
- Respond to enquiries submitted through our contact form or by email.
- Provide, manage and improve our IT consultancy and IT support services to clients.
- Maintain records of client engagements for contractual and accounting purposes.
- Understand how our website is used, in order to improve its content and performance.
- Comply with our legal and regulatory obligations.
4. Legal Basis for Processing
We process personal data on the following legal bases under UK GDPR: consent, for optional analytics and non-essential cookies; legitimate interests, for responding to enquiries and operating and improving our website and services, where this does not override your rights and interests; performance of a contract, where processing is necessary to deliver services you have engaged us for; and legal obligation, where we are required to retain or disclose data by law.
5. Data Retention
We retain personal data only for as long as necessary for the purposes it was collected. Contact form and general enquiry data is typically retained for up to twenty-four (24) months unless a client engagement follows, in which case data is retained in line with our contractual and statutory obligations (including relevant tax and accounting record-keeping requirements, generally six years from the end of the relevant financial year). Analytics data is typically retained in aggregated or pseudonymised form for up to twenty-six (26) months.
6. Third-Party Sharing
We do not sell personal data. We may share personal data with trusted third parties who process data on our behalf, such as email service providers, website hosting providers, and analytics providers, under appropriate data processing agreements. We may also disclose personal data where required by law, regulation, or a valid request from a public authority. Any transfer of personal data outside the UK is carried out with appropriate safeguards in place, such as adequacy regulations or standard contractual clauses.
7. Your Rights
Under UK GDPR, you have the right to: access the personal data we hold about you; request rectification of inaccurate or incomplete data; request erasure of your data, in certain circumstances; restrict or object to certain processing; request data portability, where technically feasible; and withdraw consent at any time, where processing is based on consent, without affecting the lawfulness of processing before withdrawal. To exercise any of these rights, please contact us using the details in Section 9. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been mishandled.
8. Cookies
Our website may use essential cookies, which are necessary for the site to function, and optional analytics cookies, which help us understand how the site is used. Optional cookies are only set with your consent, which you can manage or withdraw at any time via your browser settings. Disabling essential cookies may affect the functionality of the website.
